Vice President for Administrative and Development Portfolio

Overview: The Special Assistant to the Vice President for Administrative and Development is accountable to the Administrative and Development Vice President. This vital role provides advising and strategic support to the Vice President, empowers executives and professionals, strengthens employee capacity, ensures efficient and effective utilization of the institution's resources, and enhances service delivery at Raya University.

Key Roles and Responsibilities

1. Advising & Supporting the VP

  • Prepares a draft plan for the Office of the Vice President for Administrative and Development; receives input, revises, and submits to the VP.
  • Ensures executives responsible to the V/President prepare and submit annual work & budget plans in a timely manner; assesses proper submission.
  • Coordinates the preparation and submission of current performance reports by executives; compiles, analyzes, and prepares consolidated reports.
  • Monitors implementation of specific issues directed by the Administrative and Development Vice President.
  • Provides comments and recommendations on administrative issues submitted to the Office by executives under ADDVP Office.
  • Proposes recommendations on complaints and service requests; monitors implementation and submits reports.
  • Provides proposals by conducting surveys to identify the implementation of policies, regulations, and guidelines by executives.

2. Support to Executives & Professionals

  • Provides professional support to Executives directly accountable to ADDVP office, as directed by the V/President.
  • Monitors the performance of work units under his responsibility; ensures corrective measures; evaluates efficiencies, identifies capacity gaps and ensures qualification.
  • Assigns tasks to admin office staff, monitors, directs, and supervises their performance.
  • Provides close support and supervision to office staff, offers feedback, identifies skill gaps, and helps develop capabilities.
  • Monitors the existence and implementation of a system for conducting satisfaction surveys (internal & external customers); submits report to ADDV/president.
  • Monitors and ensures that information in the office and relevant Executives is properly organized and maintained with the help of technology.
  • Prepares and submits a periodic progress report regarding their work.

3. Performs additional duties as assigned by the Vice President for Administrative Development

Carries out any other responsibilities delegated by the Vice President to ensure smooth administrative and development operations across the university.

Qualifications & Core Competencies

Educational Background

  • Bachelor's or Master's degree in Management, Public Finance Management, or Business Administration
  • Prior experience in office administration or a similar role is preferred

Technical & Soft Skills

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Ability to work independently as well as part of a team
